One of the pillars of the Breakfast Leadership Network is the need for strong systems in our personal and professional lives. Systems create opportunities for growth, less stress, more flow, and better outcomes.

Today’s article features an interview with Rachel M., LEED AP, the Principal Architect with Sustainable Design Solutions. Rachel implemented the 12-week Breakthrough System, and it’s been a game changer for them.

Enjoy the interview!

When I first encountered the 12-week Breakthrough System, I ran a small architectural firm in New Jersey. I was constantly buried under project deadlines and administrative tasks. Like many architects, I was great at design but struggled with the business side of things. My days were a blur of responding to urgent emails, handling staff questions, and squeezing in actual design work whenever possible.

The turning point came when I realized I was letting daily events control my schedule instead of strategically growing my business. I was good at what I did, but I knew I could be great if I could find a way to break through the ceiling I'd hit.

The First 12 Weeks: Learning to Take Control

The biggest eye-opener was implementing strategic time blocks. I started dedicating two three-hour blocks each week solely to business development and marketing—something I'd always pushed aside for "when I had time" (which was never). I learned to protect these blocks fiercely, turning off my phone and email notifications. This was revolutionary; I proactively controlled my schedule for the first time instead of reacting to it.

I also implemented routine time blocks—two one-hour daily periods for administrative tasks. My team quickly adapted to these new boundaries, and surprisingly, they respected me more for it. Some even started adopting similar practices themselves.

Measuring What Matters

The system taught me to track both lead and lag indicators. Instead of just looking at revenue (lag), I started measuring client consultations, proposal submissions, and referral requests (lead). This gave me early feedback on whether my strategies worked, allowing me to adjust the course quickly.

The Breakthrough Results

The results started showing within the first year:

  • Revenue increased by 15% in the first 12 weeks

  • Client pipeline grew by 20% in one cycle

  • Staff productivity improved by 30% through better time management

  • Successfully transitioned to new design software while maintaining productivity

By the end of the second year:

  • Revenue had grown by 35%

  • Added four new team members

  • Established a strong presence in sustainable design

  • I started getting invited to speak at industry events

By year five:

  • Revenue had increased by over 50%

  • Ranked among the top 10 architectural firms in New Jersey

  • Known as the go-to firm for sustainable luxury homes

  • Featured in several architectural magazines

  • Built a team of 15 talented professionals

The Real Transformation

While the numbers are impressive, the fundamental transformation was in how I approached my work and leadership. The system taught me to think bigger – not just about being a good architect but about creating a legacy in sustainable design—each 12-week cycle built upon the previous one, creating momentum that transformed my leadership practice and confidence.

I now block time for innovation and creative thinking, something I never "had time for" before. My team is more engaged because they see clear direction and progress. We've moved from being project-takers to project-makers, able to choose the clients and projects that align with our vision.

Advice for Others

For other professionals considering this system, Don't underestimate the power of structured time blocks and consistent execution. The system works if you work it. Yes, there will be weeks when unexpected challenges arise, but having a clear framework helps you get back on track quickly.

The peer support component was crucial for me. Meeting weekly with other professionals using the system helped me stay accountable and gave me fresh perspectives on challenges. I maintain these meetings five years later because they're invaluable for continued growth.

What started as a productivity system became the foundation for transforming my practice and achieving goals I once thought were out of reach. The 12-week Breakthrough System didn't just help me manage my time better – it helped me become the architect and leader I always knew I could be.
